Keep briefs next to the board

When the brief lives in email and the work lives on a board, both go stale. Put the knowledge where the work already is.

Every client comes with knowledge that is not a task: the brief, the tone of voice, the reason you stopped doing it the other way. When that knowledge lives somewhere else, people stop trusting it.

Email gets archived. Drive folders multiply. WhatsApp decides are forgotten. Then someone re-asks a question you answered in March.

One place per client

Documents that sit in the same workspace as the board stay findable. The brief is still there when the original account lead is on holiday. The brand notes are still there when a freelancer joins for two weeks.

Share on purpose

Not every document should be client-visible by default. Share links work for a single brief you are happy to send. A portal share is for standing access to what that client should see. Pick deliberately — a forwarded secret URL is not the same as a named contact with access you can revoke.

In practice

In Flowcove, documents live per client beside the task board. Attach the working files to the tasks themselves. Keep the enduring knowledge in documents. That split is what stops the board from becoming a junk drawer and the drive from becoming the real system of record.
